Collections charter, submission guide and production standards

Reference document applicable to every publication and every submission. It complements the editorial rules and the book publishing contract without replacing them.

A question about our books? edition@cafnia.org

1. The collections

A collection is a field, not a format: it has an editorial line, a series editor and continuous volume numbering. Every accepted book belongs to one collection only and receives a volume number that never changes.

2. Book types and their evaluation

Essays & monographs
Reading committee, two reviews
Textbooks & guides
Reading committee, two reviews
Research reports
Reading committee, one review (+ sponsor's opinion)
Conference proceedings
Selection by the coordinator, checked by the reading committee

Title identity: Collection "Public governance" · Volume 1 · Textbooks & guides. The internal reference reads GP-01, NIA-04, ESIC-02, SP-03, JG-05; it does not replace the ISBN and is never printed on the cover.

3. The submission file

An incomplete file is not reviewed: it is returned with a list of what is missing. Six items are required:

  • The completed and signed submission form.
  • The complete manuscript in .docx, structured with styles. A PDF manuscript cannot be typeset and is refused as is.
  • An abstract of no more than 250 words in French, with an English translation if available.
  • A biographical note of no more than 120 words in the third person, plus a CV.
  • A detailed table of contents and the list of tables, figures and appendices.
  • Reproduction permissions for any borrowed material.

Grounds for immediate rejection

  • Manuscript already published, in whole or in part, without declaration.
  • Manuscript simultaneously submitted elsewhere without informing CAFNIA.
  • Unattributed borrowings detected by the plagiarism check.
  • Undeclared AI-written content. Using AI tools is not forbidden; failing to declare it is.

4. Manuscript standards

File
One single .docx for the whole book. No PDF, no per-chapter files.
Headings
Structured with Heading 1, 2, 3 styles. Never with enlarged bold text.
Body text
Times New Roman 12, justified, single spacing, 0.5 cm first-line indent, no blank line between paragraphs.
Notes
Automatic footnotes, size 10, superscript markers, one single placement for the whole book.
Quotations
French quotation marks, roman type. Beyond three lines, indented without quotation marks.
Bibliography
One single standard for the whole book, alphabetical by author.
Emphasis
Italics for foreign terms and book titles. Bold is reserved for headings. Never underline.
Hyphenation
Disabled. Non-breaking spaces before ? ! ; : and around quotation marks.

5. Layout and production

CAFNIA receives camera-ready files: two files, never one; the Word (.docx), the only editable file, and the control PDF with embedded fonts. In Word the paper size stays A4: margins determine the finished book size.

SettingSmall format 135 × 215 mmLarge format 160 × 240 mm (reference format)
Paper sizeA4A4
Top margin6 cm5 cm
Bottom margin6.2 cm5 cm
Left / right margins5.5 cm4.25 cm
Footer5.2 cm4 cm
Resulting text block10 × 18.5 cm12.5 × 20 cm

Beyond 350 pages, the large format is mandatory: a thicker book does not hold properly at the small format and the spine becomes fragile.

Heading 1: Part, appendix
Bold, capitals, centred, size 13. Opens on a recto page.
Heading 2: Chapter
Bold, capitals, centred, size 12. Opens on a recto page.
Heading 3: Section
Bold, flush left, size 12, no capitals.
Heading 4: Subdivision
Bold italic, flush left, size 12. Never numbered.
  • Page number centred in the footer, in the body font and size; an outer position is allowed, chosen once for the whole book.
  • A new chapter always starts on a recto page; the resulting blank page counts in the pagination.
  • Tables at text-block width, thin black rules, no colour fill; cell text at size 11.
  • Illustrations at 300 dpi, numbered, captioned, rights-free or with written permission.
  • Short contents at the front, detailed table of contents at the back: generated automatically, never typed by hand.
  • Back cover: 1,500 characters maximum, biography included.

Pre-delivery checklist

Go through it line by line. A single “no” is enough to delay production.

  • The paper size is A4 in Word.
  • The margins exactly match the chosen format, small or large.
  • The book exceeds 350 pages: the large format has been selected.
  • Times New Roman 12, justified, single spacing, throughout the book.
  • No blank line between paragraphs; 0.5 cm first-line indent.
  • Headings use the Heading 1, 2 and 3 styles, no manually enlarged bold text.
  • Notes are automatic, in a single placement throughout the book.
  • The control PDF embeds the fonts.

A single source of truth

There is only one master file per book: every format derives from it by regeneration. A correction is made in the master, then print, PDF and ePub are rebuilt. Each regeneration is dated, numbered, and the previous version kept.

6. After acceptance

Publication requires signing the book publishing contract: assignment of exploitation rights worldwide for the legal term of protection, the author's moral rights remaining inalienable. Royalties are proportional to sales, 8 to 10% of the pre-tax retail price for print, 15 to 25% for digital, 50% of net sums for third-party rights assignments. After publication the file can no longer be modified: a correction requires a new edition with a new ISBN.
